Welcome letter

Welcome your teammates, make sure they’re registered to vote, and let them know you’re here to answer their questions. Remember to fill in any links from our state election laws page.

EMAIL:

Hey [Team Member Name],

You’re now part of my election team! That means I’ll be following up with you throughout the year to make sure you’re aware of any upcoming elections and have easy access to polling and candidate information.

As a first step, let’s make sure you are registered to vote at your current address. You can look up your registration status here: [fill in state voter registration lookup].

If you aren’t a registered voter, it is an easy fix! If you have a state ID, you can register online here: [recipient state online tool]. If you don’t have the appropriate ID, let me know and I’ll send you a PDF of the form to mail to your local Board of Elections office.  Problem solved.

Two Months Out

Once you’ve welcomed your team, you can add them to one chain. Just make sure you follow up with each individually and ensure that they’ve read the information and have thought about whether they’ll need an absentee ballot on election day.

An election is coming up on [Election Date]. Now is a good time to make sure you know which method you plan to vote with, have the appropriate form of ID, and know generally where your polling place will be. Check your voting options, here: [Recipient State Election Laws Page]. If you wont be in town on Election Day, consider applying for an absentee ballot sooner rather than later.

I also wanted to let you know which positions will be on the ballot and who’s running, just so you’re familiar with the seats that are up for reelection and the names of the major candidates.

One Month Out

Just a quick reminder that Election Day is ONE MONTH AWAY!

If you’ve just realized you wont be able to make it to the polls on Election Day, don’t worry! You can plan to vote a different way. Check this page for information about your voting options: [Recipient State Election Laws Page]. Make sure that if you plan to vote absentee, you send in the application ASAP. We’re getting down to the wire!

Here are the major races that will be on the ballot this time:

[List the primary races they’ll be voting on. You can use the information you sent last time, just update it if necessary. Feel free to include a brief comment about what this office does and which issues are at stake in each race.]

Two Weeks Before An Election

Email: 

Hey Team!

Election Day is mere weeks away, so it’s time to start familiarizing yourself with the rules you’ll need to know to actually vote. Remember, to vote in person you will need [ID requirements for their state]. Let me know what time of day you plan to vote and how you plan to get there. I’m happy to help you arrange transit to the polls.

Also, just a reminder, here’s what will be on the ballot. If you have any questions or just want to chat about it, I’m happy to go through your sample ballot with you. It’ll be fun!
